Promotion Chaos to Control: How Smart Automation Transformed Price Card Workflows
Behind Every Price Card Was a Manual ProcessÂ
A leading Southeast Asia-based supermarket chain, known for its affordable groceries and community-first approach, faced a hidden operational burden: manually generating thousands of price cards each week. Relying on spreadsheets, email threads, and PowerPoint files, store teams spent hours creating and printing price cards for in-store promotions. With limited SKU coverage, no bulk-printing capability, and no way to track what was printed, the process was slow, error-prone, and hard to scale across their growing store network.Â

Challenge:
Disconnected Systems, Delayed ExecutionÂ
The retailer’s price card creation process was heavily reliant on manual inputs and disconnected tools. Category managers shared promotional data via Excel sheets, which were emailed to store staff who then manually designed price cards using PowerPoint. This fragmented approach introduced delays, increased the risk of errors, and made version control nearly impossible.Â
The legacy system in place supported only a limited set of SKUs and lacked real-time integration with backend systems like SAP and FPON. With no option for bulk generation or digital tracking, generating a single price card took up to five minutes leading to hours of effort each week and inconsistent execution across stores.Â
Solution:
Price Card Harmonization Built on SAP BTPÂ Â
Incture leveraged its deep expertise in SAP technologies to build a mobile and web-based application on SAP Business Technology Platform (BTP), tailored to the retailer’s operational needs. The solution enabled real-time SKU scanning via PDA devices and seamless price card generation through a centralized web app. Standardized templates were introduced to eliminate inconsistencies and reduce manual design efforts across store formats.
The application was fully integrated with backend SAP and FPON systems, ensuring live data synchronization for price accuracy and compliance. It also supported bulk price card generation, significantly reducing turnaround time. Designed to handle large user volumes and SKU data, the solution offered a scalable, reliable, and intuitive interface turning a fragmented, manual task into a digital, governed workflow across 377 stores.
Additionally, the solution’s logic has now been extended to support digital displays for promotional content, eliminating the need for paper printing in few specific stores and contributing to the company’s environmental sustainability goals.

From Hours to Minutes: Transforming Price Card Operations
With Incture’s solution in place, the retailer reduced the time to generate 1,000 price cards from several hours (at approximately 5 minutes per price card) to just 3.5 minutes. With real-time data sync and the ability to generate price cards in bulk, store teams can now react quickly to promotions and pricing changes. Consistent templates enhanced the in-store shopping experience and improved visual merchandising.
The application is now deployed across 377 stores, covering approximately 80,000 SKUs. It supports more than 2,500 users across formats and scales to 800 concurrent users during high-traffic periods. Its successful implementation for paper-based price cards has paved the way for its extension to digital displays reinforcing scalability and long-term value.
