Crafting beloved chocolates and snacks globally

A Sweet Legacy, A Complex Challenge

A leading global chocolate maker, known for its treats enjoyed in 60 countries, faced a growing IT problem. Their expanding business relied on two different middleware systems (Gentran and SAP PO/PI) to manage transactions. This split system drove up licensing costs, increased maintenance, and created complex integration issues. Their HR systems were also fragmented, leading to inefficient employee data management, slow reimbursements, and delayed responses. The company recognized the need for a major IT overhaul.

Business Impact:

  • 35% Rationalization of the overall EDI maps.
  • Reduction in overall licensing and maintenance costs .
  • Increased flexibility for business users to change rules using BRMS (Business Rule Management System)s.
  • Faster onboarding of trading partners using the Trading Partner Management solution
  • Standardized HR solutions for improved operational efficiency.
  • Faster reimbursements and allowances, enhancing employee satisfaction
  • Digitized HR services, leading to quicker responses and better employee engagement
  • Enhanced auditing capabilities for compliance and governance

Challenge:

A Journey Towards Simplicity and Efficiency

To streamline operations, the chocolate maker partnered with Incture to overhaul its integration and HR systems. The goal was to consolidate middleware, modernize transactions, and improve employee experience while cutting costs and increasing agility.

With Incture’s API transformation expertise and SAP Integration Suite, they launched a plan to migrate hundreds of complex data maps, unify business processes, and boost HR efficiency within a new, scalable system.

Solution:

A Harmonized Digital Ecosystem

Incture’s approach was both strategic and innovative. The team initiated a large-scale migration of over 350 EDI maps from Gentran to SAP PO/PI, ensuring a smooth transition for 450+ trading partners across 30 different transaction types. By adopting standardized B2B frameworks such as ANSI X12 and EDIFACT, the company’s integration capabilities were strengthened, allowing seamless data exchanges across its global network.

Simultaneously, Incture modernized the company’s HR operations by integrating SAP SuccessFactors with SAP and non-SAP systems. Pre-packaged content for SAP SuccessFactors enabled a faster and more efficient implementation, ensuring a standardized approach to HR management. Employees could now experience quicker reimbursements, improved allowances, and enhanced engagement through digitized HR services.

Results:

A Future Ready Enterprise

The company achieved a 35% rationalization of EDI maps, significantly reducing complexity and improving efficiency. By consolidating middleware platforms, licensing and maintenance costs saw a dramatic reduction, freeing up resources for further innovation.

Business users gained newfound flexibility to modify rules using BRMS, reducing IT dependency and accelerating decision-making. The streamlined Trading Partner Management solution enabled faster onboarding of new partners, strengthening the company’s supply chain network.

On the HR front, employees experienced a transformation in the way they interacted with internal processes. Faster reimbursements and allowances improved employee satisfaction, while digitized HR services enabled quicker responses, elevating the overall employee experience. Additionally, enhanced auditing capabilities ensured compliance and governance, providing greater transparency and accountability.Â
