World-class Science and Technology Institute
Migration story of a Middle Eastern Educational Institution with InctureÂ
Based in Thuwal, Saudi Arabia, our customer is a globally recognized public research university, known for being one of the 500 fastest-growing institutions in research and citation records. Committed to providing world-class education and innovation, the university sought to modernize its IT infrastructure by migrating from an on-premise integration landscape to a cloud-based ecosystem. This transition aimed to enhance the digital experience for students and employees while ensuring regulatory compliance and operational efficiency. Â
The university faced multiple challenges, including a lack of automated insurance operations, regulatory compliance with the government system (GOSI) on the cloud, and the need to unify identity data from various systems. To overcome these obstacles, they partnered with Incture to facilitate a seamless migration and integration strategy.Â
Business Impact:
- Seamless integration between SAP and third-party applications for efficient university operations.Â
- Improved system performance, leading to enhanced user experience and satisfaction.Â
- Automation of insurance operations, streamlining processes throughout the employee life cycle.Â
- Faster transaction processing, driven by improved collaboration with vendors.Â
- Unified identity management, enabling secure and efficient data sharing with third-party vendors.Â
- Regulatory compliance, ensuring adherence to government mandates on the cloud.Â
Challenge:
A Vision for a Unified and Cloud-Optimized IT Landscape
The university aimed to upgrade its integration framework from an on-premise to a cloud-based system. However, several hurdles stood in the way.Â
The absence of automated insurance operations with BUPA resulted in inefficiencies across the employee lifecycle. Regulatory compliance with GOSI on the cloud was another major requirement, as the university needed to align with government mandates while maintaining secure and effective data management. Unifying data from multiple disparate systems for identity management proved to be a complex task, requiring a structured approach to integration and accessibility.Â
With these challenges impacting both operational efficiency and compliance, the university sought a robust digital transformation strategy that would enable scalability, automation, and enhanced collaboration.Â
Solution:
A Strategic Cloud Migration with Intelligent Integration
Incture facilitated the university’s migration by implementing a comprehensive solution that ensured seamless integration and data unification:Â
- Migration to SAP IS: Legacy integrations built on SAP PO and Neo were successfully transitioned to SAP IS, ensuring a modern and scalable integration framework.Â
- Third-Party Application Integration: New integrations were implemented with Blackboard (learning management system), Archer (risk management), BUPA (insurance systems), Peopledoc (employee portal), Slate (student portal), GOSI (government social insurance system), SuccessFactors, and Shopify, enhancing collaboration and efficiency.Â
- Data Unification via SAP BTP: An intermediate datastore was established on SAP BTP to collect daily data from SuccessFactors and S/4HANA, reducing the need for frequent system access and optimizing data management.Â
- Intelligent Data Filtering with SAP S/4 HANA: Advanced intelligence was built using the SAP S/4 HANA database to filter only the required fields from the datastore based on specific interface demands, significantly reducing data exchange volumes and improving processing speed.Â
Results:
A Digital Leap ForwardÂ
The university successfully transitioned to a cloud-first integration strategy, unlocking operational efficiency and compliance benefits. With real-time data access and automated processes, they experienced enhanced performance, a more seamless experience for students and employees, and a future-ready IT infrastructure aligned with global best practices.Â
